About this tool

Travel Plan vs Actual shows how a trip really went compared with how you planned it. It works with the report you downloaded from the Advanced Travel Planner. The page opens with an example plan already loaded so you can see everything it does. Press Clear at the top to choose your own saved plan.

How it works

1. Plan. Before the trip, plan it in the Advanced Travel Planner and download the report. That file is your plan.

2. Spend. Go on the trip. Keep your receipts or notes.

3. Compare. Open the plan here, type what you really spent, what each traveler paid in and who joined each activity, and see exactly what changed.

What you get: the difference for every cost line, the total over or under the plan, and for each traveler what they now owe or are owed. Anything you leave empty is taken as planned, so you only type what changed.

A worked example

Five friends planned a trip: the flights (300 per ticket × 4 travelers, assigned to travelers 1 to 4), a train for Eva (150), a hotel (120 × 5 nights, shared by all) and skiing (80 per person for Anna, Ben and David). Planned total: 2,190. After the trip, the flights rose to 315 per ticket (1,260 in all) and the hotel came to 660. Only those two lines are typed in as actual; the rest stays as planned. Here is what the report shows:

TravelerPlanned shareActual sharePaid inResult
Anna500527500Owes 27
Ben500527400Owes 127

David500527500Owes 27
Eva270282200Owes 82
Trip total2,1902,3102,050120 over plan

Notice that the flight increase of 60 falls on the four flight travelers only (15 each), while Eva, who was not on the flight, only shares the 60 hotel increase (12 each, like everyone). The tool follows the same assignment as your plan, so nobody pays for a cost they did not use. The multiplier and the assignment you set in the Advanced Travel Planner are carried over exactly.

Open your plan

Choose the report you downloaded from the Advanced Travel Planner. You see a short summary first: the trip, the dates, the number of travelers and the planned total, so you can be sure it is the right plan. Then open it. Your plan stays exactly as you saved it.

Type what really happened

Actual costs lists every cost from your plan next to a box for what you actually spent. Leave a box empty if it went as planned. You see the difference for each line, the total over or under, and how each traveler's share changed. Type what each traveler has paid in to see who still owes and who has paid extra.

Optional activities shows each extra you planned, such as skiing or a skydive. Change the price per person if it was different, and tick who actually joined. Only those who joined are charged, and the report shows the plan and the actual side by side.

Report and come back later

The Report preview shows plan and actual together: the cost split, optional activities, contributions, the plan versus actual by category and by traveler, and your itinerary. Download it, save it as a spreadsheet file, copy it, share it or print it.

A downloaded report can be opened here again to keep adding actual costs, or in the Advanced Travel Planner to change the plan itself.

Emergency contacts, special needs and booking numbers stay out of the report unless you choose to include them.

Everything you type stays on your own device. Download a report to keep your work.
