About this tool

The Advanced Travel Planner is a trip workbook for you or your whole group. Plan the days, list the extras, pack, share the costs fairly, keep track of who has paid, and finish with one clean report you can download, print or send. The page opens with an example trip already filled in, so you can download its report straight away. Press Clear at the top to start your own. Refresh the page any time to bring the example back.

What makes it different

Most trip planners treat every cost as if everyone shares it equally. Real trips are not like that. Three features make this one different, and they work together.

1. Multiplier: enter the price for one, get the total. Type the price of a single ticket, night or day, then put how many in the × box. A flight of 300 per ticket for 4 travelers: enter 300, put 4 in the × box, and the cost becomes 1,200. A hotel at 120 a night for 5 nights becomes 600. You never need a calculator, and if the plan changes you only change one number. Leave the × box empty and the amount is used as it is.

2. Assign a cost to some travelers: only the people who use it pay. Leave the A box empty and everyone shares the cost. Or type the traveler numbers: 13 means travelers 1 and 3, 1234 means travelers 1, 2, 3 and 4. Those travelers pay for that cost, always in equal parts, even when you chose a weighted split. In our example the 1,200 flights are assigned to 1234, so each of those four pays 300 and traveler 5 pays nothing for them. A cost left unassigned is shared by everyone, by weightage if you chose a weighted split.

3. Contribution: see who has paid and who has not. Once everyone's share is known, type what each traveler has actually paid in, as an amount or as a percentage of their share. Next to each name you see Settled, Owes an amount, or Paid extra, plus the total collected. The group organiser no longer needs a notebook.

A worked example

Five friends: Anna (1), Ben (2), Chloe (3), David (4) and Eva (5), splitting equally in euros. Eva travels by train, so she is not on the flight. The costs are entered like this:

CostAmount×A (who)Total
Flights300412341,200
Train (Eva only)150—5150
Hotel1205 nightsempty (everyone)600
Costs so far1,950

Skiing is added as an optional activity at 80 per person. Anna, Ben and David joined, so it adds 240 and only they pay. Here is what each traveler's share comes to:

TravelerFlightsTrainHotelSkiingShare
1 Anna300—12080500
2 Ben300—12080500
3 Chloe300—120—420
4 David300—12080500
5 Eva—150120—270
Trip total1,2001506002402,190

In Contribution, Anna paid in 500, Ben 400, Chloe 450, David 500 and Eva 200. The tool shows: Anna Settled, Ben Owes 100, Chloe Paid 30 extra, David Settled, Eva Owes 70. Of the 2,190 trip total, 2,050 has been collected. The downloaded report carries all of this, so the whole group sees the same numbers.

Plan your trip

Overview is the trip at a glance: where you start, where you are going, the dates and the key facts. Choose plain notes, a holiday summary, or a group trip brief with meeting point and rules.

Itinerary is the day-by-day plan. Choose the style that suits your trip: a simple text box, a day block with times, places, distance and cost, a morning / afternoon / evening plan, or a road trip with legs, drive times, fuel and tolls. Add as many days as you need with one click, and add a backup plan or booking number to any stop if you want them.

Optional activities is for extras that not everyone does, such as skiing or a skydive. Add the activity, its date, place and price per person, then tick who has joined. Only the people who joined pay for it, and the report shows who is doing what and when.

Packing list starts from a ready list (warm weather, cold, road trip or business) or from scratch. Add your own items, tick what you are taking, and the report shows just those.

Checklist keeps track of who needs to do what by when, with a status for each item.

Share the costs

Choose your currency, or no currency at all. Add up to 9 travelers and split equally or by weightage. You see each person's share and who pays what, category by category, using the multiplier and assignment described above.

Contribution shows what each traveler has paid in against their share. Type an amount, or choose a percentage of their share. You see what has been collected, what is still needed, and who owes or has paid extra. For a solo trip it compares the trip cost with the money you have.

After the trip: Compare Plan vs Actual

Plans and real life rarely match. Compare Plan vs Actual has its own page, opened from the button at the top. Choose the report you downloaded here before the trip, and your plan opens exactly as you saved it. Then type what really happened: what you actually spent on each cost, what each traveler paid in, and who really joined each optional activity. Anything you leave empty is taken as planned.

In our example the flights rose to 315 per ticket (1,260 in all) and the hotel came to 660. The same rules still apply: the flights are shared by travelers 1 to 4, the hotel by all five. The compare report shows:

Trip total2,1902,3102,050120 over plan

You get the difference for every cost line, the total over or under, and for each traveler what they now owe or are owed. No arguments and no recalculating at the end of the trip. You can download, save as a spreadsheet file, copy, share or print this report, the same as the plan.

Report and come back later

Report brings it all together: overview, split of costs, optional activities, contributions, each day of the itinerary, packing and checklist. Download it, save it as a spreadsheet file, copy it, share it or print it. Each itinerary day starts on its own page when printed.

A downloaded report can be reopened here with Open a saved report. Your trip comes back exactly as you left it, so you can change the plan and download a fresh copy.

Emergency contacts, special needs and booking numbers stay out of the report unless you choose to include them, so you decide who sees what before you share.

Everything you type stays on your own device. Download a report to keep your trip.
